The challenge

Good revenue, healthy margins, and still no fast answers.

The founders had their data in three disconnected systems: an accounting platform for the finances, HubSpot for sales and pipeline, and Google Workspace for email and files. Nothing talked to anything else.

Monthly financial analysis meant a full day of manual spreadsheet work, so it rarely happened. Decisions ran on gut feel and outdated figures. The basic questions, true profit, client concentration, what the pipeline was actually worth, took too long to answer to be useful.

What we built

A finance engine that does the Finance Director's monthly analysis.

Claude connects the accounting platform, HubSpot and Google Workspace, then does the analysis a Finance Director would do, on live data, every month, without anyone opening a spreadsheet.

  • Live data pulls. From accounting and pipeline, with transaction validation, so the numbers can be trusted.
  • A Finance Director grade dashboard. True profit and real margin in one place, plus personal wealth tracking alongside the business metrics.
  • A working sales forecast. Built from pipeline that could not previously be forecast, plus concentration risk on the top clients as a share of revenue.
  • A self-updating valuation, on schedule. A monthly business valuation tracked month over month, delivered to Slack with zero manual intervention.
Before
  • Three systems that did not talk to each other.
  • A full day of manual spreadsheet work for one monthly view.
  • Reporting that rarely got done, so decisions ran on gut feel.
  • True profit, concentration and pipeline value all unanswered.
After
  • One connected dashboard across accounting, HubSpot and Workspace.
  • Manual reporting effort down from a full day to zero.
  • True profit and real margin visible for the first time.
  • Concentration risk surfaced in minutes, with a working forecast.
Why this study is anonymised

Finance data is the most sensitive there is.

This is a live finance system running on a real client's own infrastructure, read-only. Because it handles profit, margin, client concentration and personal wealth, we do not publish the client's name or a named quote. The numbers and the build are real, the identity stays private. That is the standard we would hold for your finances too.

If your numbers live in three systems and your monthly reporting never gets done, this is what a finance system should feel like.
